Data Request Policy

The Academic Affairs office will honor data requests which can be reliably extracted from the current Access database. The following fiscal years: 98-99, 99-00, 00-01 contain complete information about faculty FTE, Rank, Department assignment, etc. The new Academic Affairs Access database beginning 01-02 contains the same information with added features which standardize entries for SOM titles, departments, divisions, and JR numbers.

Not all information was entered consistently in previous years, therefore, requests where the results cannot be verified as correct and accurate will receive notification of denial. Information from previous years will still be kept in hardcopy and researched if requested by a regulatory agency.

Although FAD is based on calendar year, the Academic Affairs database continues to be based on fiscal year. Therefore, information will continue to be provided by fiscal year. In the event there is information required from the AA database by calendar year this will require some programming and will take longer.

Barbara Brown Gabaldon can provide information on SOM faculty that is contained in the Academic Affairs database. For example: list of faculty by department, rank, and FTE. Any combination of information in the Academic Affairs database is usually possible. Confidential information: gender, ethnicity, etc. will not be released on individual faculty members, however, total numbers of females, males, etc. is available upon request.
