Office of Academic Affairs
Important Dates and Deadlines
Deferred compensation forms with all approvals are due in the Office of Academic
Affairs by Thursday for faculty members to receive payment on the Friday of the
following week.
New faculty orientation will be scheduled as necessary throughout the year. They
will be scheduled every week during June and July.
Letter of Academic Title requests are accepted at anytime throughout the year.
Volunteer Faculty requests for new volunteer faculty appointments are accepted
at anytime throughout the year. Promotion packets are due first Friday of November.
Sabbatical and Leave from Assigned Duties (for Clinician Educators) requests
will now be accepted at any time during the year. The requests are due four (4)
months prior to the start of the leave.
January
- Week 1 - Academic Affairs will request Faculty Senate nominations that
will be due on the second week of February.
February
Faculty Senate elections will be held at the February General Faculty Meeting.
- Week 2 - Clinician Educator third-year reviews are due in Academic Affairs on the
first Friday of March. Faculty who are to receive negative Clinical Educator
third-year reviews are to be announced no later than February 14.
March
- Week 1 - Clinician Educator third-year reviews are due on the first Friday of March.
April
- Week 4 - Mid-Probationary reviews are due in the Office of Academic
Affairs on the last Friday of April
May
At some point during May, the Office of Academic Affairs will schedule a meeting
with the Department Administrators and other appropriate administrative staff to
discuss faculty matters, policy changes, faculty recruiting and hiring issues, etc.
- Week 1 - Faculty annual reviews are due on the First Friday of May. Departments must submit a letter listing the names of all faculty reviewed (except those for whom mid-probationary reviews or CE third-year reviews were submitted in March and April or for those whom are being considered for promotion and/or tenure to be effective July 1) and provide copies of outstanding or “concern” reviews to the Office of Academic Affairs.
- Flex track decision notifications are due in Academic Affairs on the first Friday of May.
- Week 4 - Contracts and UPA Individual Membership Agreements will be sent to Departments for signature. They will be due one week after they are delivered to the Departments.
June
- Week 1 - Contracts and UPA Individual Membership Agreements will be sent to Departments for signature (if not done in May).
- Week 2 - The second Friday of June is the absolute final due date for Deferred Compensation forms for those faculty who are to receive scheduled (monthly) payments during following fiscal year.
- Week 2 - The second Friday of the month is also the absolute due date for SOM-1’s and hiring approval forms for new faculty starting July 1.
July
New faculty orientations will be scheduled weekly as necessary.
August
Appointments (one half hour) will be made for the Associate Dean for Academic
Affairs to meet with Department Chairs individually to discuss the processes for
promotion and tenure, mid-probationary reviews, Clinician Educator third-year
reviews, and flex track decisions. Lists of the faculty members affected will be
provided to departments.
- Week 2 - Office of Academic Affairs will request nomination for Regent Awards (if available)
- Week 3 - Notice will be given to the appropriate departments that Volunteer Faculty reappointment forms should be sent to the Volunteer Faculty members and are due in the Office of Academic Affairs on the last Friday in November.
September
The Associate Dean for Academic Affairs will continue to meet with department
chairs regarding promotion and tenure, mid-probationary reviews, etc.
- Week 1 - Notice will be given informing departments that renewals of Letters of Academic Title will be due on the first Friday in October.
- Week 2 - The Associate Dean for Academic Affairs will conduct training workshops for chairs and administrators, on the preparation of promotion and tenure dossiers. DOSSIERS ARE DUE ON THE FIRST FRIDAY OF DECEMBER.
October
At some point during October, the Office of Academic Affairs will schedule a
meeting with the Department Administrators and other appropriate administrative
staff to discuss faculty matters, policy changes, faculty recruiting and hiring
issues, etc.
- Week 1 - Letters of Academic Title renewal/drop memos are due in Academic Affairs on the first Friday of October.
- Week 2 - Newly selected Regent Awardees will receive notification.
- Week 3 - Letter of Academic Title letters will be sent by Academic Affairs.
- Week 4 - A list of faculty members being proposed for promotion and/or tenure is due in Academic Affairs on the last Friday of the month.
November
- Week 1 - Requests and packets for Volunteer Faculty promotions are due in Academic Affairs on the first Friday of the month.
- Week 4 - The Volunteer Faculty renewal forms are due in Academic Affairs on the last Friday of the month.
December
- Week 1 - Promotion and tenure dossiers are due in Academic Affairs on the first Friday of the month.
- Week 2 - Deferred Compensation forms with all approvals are due for those Faculty Members wishing to receive payment in the current calendar year.
- Week 2-3 - Volunteer Faculty letters will be sent out from the Office of Academic Affairs.
